Refunds & Cancellation Policy
Effective date: 20 October 2026 · Version 1.0
Please read the cancellation rules for your selected service before paying or confirming a booking.
This policy applies to services provided by Dr. Govind Rathod through drgovindrathod.com, app.drgovindrathod.com and direct bookings.
1. Notice and confirmation
Cancellation and rescheduling requests must be sent in writing to contact@drgovindrathod.com. For a scheduled consultation, program or membership, an eligible advance request must reach us at least 24 hours before the confirmed appointment or commencement time.
All cutoffs use Indian Standard Time (IST). The relevant start time is stated in the booking confirmation. Exactly 24 hours’ notice meets the cutoff.
Keep your email and obtain our written confirmation of the cancellation or new booking arrangement. Eligibility is based on when the request reaches our inbox, not when we reply. A delayed acknowledgment does not turn a timely request into a late one.
A rescheduling request does not itself confirm a new appointment. The new time must be agreed in writing. If a timely request cannot be accommodated, cancellation and refund can be considered under the applicable service rule.
2. Rules by service
| Service | Cancellation and refund rule |
|---|---|
| Free quiz | No payment is collected, so no monetary refund applies. |
| ₹499 Health Assessment | A cancellation request received before physician review is completed and the report is generated is eligible for a refund. Once the physician-signed report is generated, no refund is provided for voluntary cancellation or change of mind. Downloading or opening the report is not the cutoff. |
| Doctor Review | Cancellation or rescheduling requires at least 24 hours’ notice before the confirmed appointment. An eligible cancellation is refundable if the service has not been delivered. Less than 24 hours’ notice is not eligible for an ordinary cancellation refund. |
| 90-Day Program | An eligible cancellation at least 24 hours before the confirmed commencement time is refundable if the program has not begun. No voluntary-cancellation refund is offered after commencement. |
| Annual Membership | An eligible cancellation at least 24 hours before the confirmed commencement time is refundable if membership has not begun. No voluntary-cancellation refund is offered after commencement. |
| Occupational Health | Cancellation, rescheduling and refund rules are stated separately in the written corporate proposal or engagement agreement before commitment. |
The assessment’s report-generation rule applies instead of a 24-hour advance appointment rule. Booking or paying for another service does not create an unconditional right to cancel after it has been delivered.
These ordinary cancellation rules do not exclude remedies for unavailable or deficient services, payment errors or other circumstances where applicable law provides a right.
3. Missed appointments, lateness and program participation
If you miss a confirmed Doctor Review appointment, no ordinary no-show refund is offered. Late joining is not accepted; be ready at the confirmed start time. A further appointment requires a new arrangement and any applicable fee will be communicated before booking.
If a connection failure or other issue prevents attendance, notify us promptly. We will consider the circumstances, including whether the issue arose on our side. Provider-side failures are handled under Section 5 rather than treated as patient no-shows.
Once a program or membership starts, it cannot be paused and its agreed end date continues to apply. Voluntary withdrawal does not create an ordinary refund or extend the service duration. You remain free to stop participating.
Unexpected medical or other exceptional circumstances may be raised by email for individual consideration. This does not guarantee an exception or replace any applicable legal right.
4. Incomplete intake: reminder and closure process
After payment verification, please provide the required intake information within 7 calendar days. If information is incomplete, we will send a written reminder identifying what is still needed and allow a further 7 calendar days from that reminder.
You may request additional time before the reminder deadline. Any extension must be agreed in writing. Scheduled consultations or program starts require the necessary information before the confirmed start; tell us early if you cannot meet that requirement.
If the reminder deadline passes without complete intake or an agreed extension, and no paid service has been delivered or physician-signed report generated, we will close the pending request and refund the amount paid, subject only to the eligible third-party charges described below. Payment is not automatically forfeited merely because intake remains incomplete.
This process does not change the no-show rule for an appointment you miss or the rules for a program that has already begun. It applies to an undelivered service awaiting required intake.
Assessment delivery timing begins after verified payment and complete required intake, as described in the Terms.
5. Cancellation or inability to deliver by us
If we cancel or cannot provide the agreed service, we will offer a mutually agreed rescheduling option or a full refund of the service amount paid. You do not have to accept rescheduling instead of the refund.
Where we cannot complete an agreed program or membership, we do not apply a partial-delivery deduction to the provider-cancellation refund: the refund covers the amount paid for that affected program or membership.
No payment-processing deduction is taken from a refund arising because the service is unavailable or cannot be delivered by us. Separately completed and unaffected services are not automatically cancelled.
A failure to achieve a particular health outcome is not by itself the same as non-delivery. Concerns about service quality will be reviewed without limiting applicable legal remedies.
6. Payment errors and permitted deductions
Verified duplicate payments and overpayments are refunded to the extent of the excess amount. A payment for a service that is unavailable is refunded in full.
For an eligible voluntary cancellation paid manually, we impose no cancellation or administrative fee. If a bank or, where used, a payment gateway imposes a genuine non-refundable processing charge, that charge may be deducted only where disclosed before payment and permitted by applicable law.
The actual charge and refund calculation will be explained. We do not add an estimated fee, a markup or a charge already refunded by the provider. The same charge is not deducted twice.
Payment-error refunds and provider-cancellation refunds are not reduced by these voluntary-cancellation processing deductions.
7. Refund initiation and payment route
Approved refunds are initiated within 3 calendar days after approval. Initiation means that we submit or make the refund transfer; the time taken for the money to appear in your account depends on the bank or payment provider.
Refunds are made through the original payment method where feasible, or through another mutually agreed and verified method. We will confirm the amount and provide the available transfer reference.
We do not promise the same 3-day period for a bank’s final settlement. If a refund fails or is delayed, contact us so the transfer status and any necessary correction can be checked.
8. How to request cancellation or a refund
Email contact@drgovindrathod.com with the subject Cancellation / Refund Request and include:
- Your name and reply email.
- The service and confirmed appointment or start date, if applicable.
- Payment date, amount and transaction reference.
- Whether you request cancellation, rescheduling or correction of a payment error.
- A brief reason or description of the issue.
Do not attach medical records to the initial request. We may ask for proportionate payment verification or provide a suitable route if further information is necessary.
We will confirm the decision and any deduction in writing. The expected email response is 12–48 hours; the 3-day refund-initiation period begins after approval, not automatically when the request is submitted.
9. Your rights and related policies
This policy describes ordinary cancellation arrangements. It does not remove rights or remedies available under applicable law, including in relation to deficient services, unfair terms or payment errors. A no-refund rule is not a waiver of professional responsibility.
Corporate terms apply as agreed in the written engagement, subject to applicable law. Refund conditions are disclosed before payment; later policy changes do not retrospectively replace the terms of an existing booking without the required agreement.
